Welcome to DottieNote (hereinafter referred to as “we” or “our”). DottieNote is designed to be local-first, and we take your privacy and data protection very seriously. To better protect your rights, please read this Privacy Policy to understand how we process necessary information.

1. Information Collection

DottieNote is designed to be local-first. We process necessary information only in the following specific situations:

1.1 Information During User Feedback

When you voluntarily provide feedback to us, we may obtain:

  • App version number
  • System version
  • Phone model

1.2 Cloud Speech Recognition and Task Parsing

When you use voice input, DottieNote uses cloud services to support the current recognition and parsing request, turning voice input into editable task information. Cloud services are used only for that request. We do not store your recording, recognized text, or parsed content.

1.3 App Crash Information

In rare cases when the app crashes, we will collect:

  • De-identified information related to the crash cause

1.4 AI Review and Chat

When you use the AI review, weekly/monthly report, or chat reply features, DottieNote sends the text you enter in those features, together with an anonymous diagnostic identifier that contains no personally identifiable information, to third-party AI service providers to generate a response. These identifiers are one-way hashed pseudonyms that cannot be reversed to identify you and are not linked to your real name, email, or Apple ID. We require these providers to offer an equivalent level of data protection. AI features are optional; this transmission does not occur if you do not use them.

1.5 Troubleshooting and Feature Improvement

When you submit feedback or report an issue to us, DottieNote uploads de-identified functional diagnostic information to help us identify and resolve problems and improve feature stability. Any identifiable content is removed or hashed; it is purely technical data and is not used to identify you.

1.6 Website Analytics and Local Preferences

The website stores your language preference and analytics choice in your browser. We load Google Analytics only after you select “Allow analytics,” and use it to understand aggregate information such as page visits, device category, and approximate region. You can withdraw that choice at any time through “Analytics settings” in the footer. Our hosting and security provider, Cloudflare, may also process basic network and technical information required to deliver and protect the website and provide aggregate, cookieless traffic analytics.

1.7 TestFlight Beta Applications

When you apply for the TestFlight beta on our website, we collect the email address you submit, interface language, and source page. To limit automated abuse, we use Cloudflare Turnstile and briefly process a one-way hashed IP identifier and browser User-Agent. We use the email only for beta invitations, necessary beta notices, and interview invitations to which you agreed.

2. Information Use

The limited information we collect is only used for:

  • Troubleshooting: Helping to resolve specific issues you report
  • App Improvement: Analyzing and fixing potential program errors to improve app stability
  • Beta Operations: Sending TestFlight invitations, necessary notices, and interview invitations you agreed to
  • Website Improvement and Security: Analyzing aggregate traffic with consent and limiting automated abuse

3. Information Sharing

We will not share your personal information with third parties, except in the following circumstances:

  • To provide the AI review and chat features, we transmit the content you enter in those features to third-party AI service providers (see Section 1.4);
  • After you allow website analytics, Google Analytics processes website usage data; Cloudflare provides website hosting, security, and aggregate traffic analytics;
  • After obtaining your explicit consent;
  • When required by laws and regulations to provide information;
  • When protecting our rights, property, or safety, or protecting the rights, property, or safety of users and the public.

4. Data Storage and Security

4.1 Data Storage

Tasks, notes, tags, planet records, and most settings are stored locally on your device by default. Except when cloud services support the current speech recognition and task parsing request, we do not store or back up these core data types to our servers. If you rely only on local storage, uninstalling the app may result in data loss; if you enable iCloud sync, data syncs across your devices through your Apple ID.

4.2 Data Security

Under normal circumstances, since all data is stored locally on your device and iOS systems have comprehensive data isolation mechanisms, your data is very secure.

4.3 Device Permissions

To provide complete services, this app may request access to your device permissions, including:

  • Notification Permission: Used to send you task reminders and notifications.
  • Health Data Permission: Dottie needs to record your focus time in the Health app.
  • Microphone Permission: Dottie needs to use the microphone to record your voice to create tasks.
  • Speech Recognition Permission: DottieNote needs access to speech recognition to process your voice commands. Voice content is supported by cloud services for the current recognition and task parsing request, and we do not store recordings, recognized text, or parsed content.

4.4 Retention and Deletion

We retain beta application emails until invitation and related follow-up are complete, for no more than 365 days, or delete them earlier when you ask us to. Hashed IP identifiers and User-Agent data used to prevent abuse are automatically cleared after no more than 30 days. Website language and analytics choices remain in your browser and can be cleared at any time. Email support@dottienote.com to request access to or deletion of beta application information associated with your email.

5. Your Rights

You have the right to access, correct, or delete your personal information. You can contact our support team to exercise these rights.

6. Minor Privacy

DottieNote is a local-first productivity app. We do not knowingly collect personal information from minors. Parents or guardians can control a minor’s use of the app by managing the device, system permissions, and Apple ID. If the app relies only on local storage, uninstalling it may result in data loss.

7. Changes to This Privacy Policy

We may update this privacy policy from time to time. Any changes will be notified to you through in-app notifications or email. Please review the privacy policy regularly to stay informed of the latest updates.
